How to Create Approval Requests

on the approval app, you can create new requests which can be accepted or denied. There are ways to create requests and then there are ways to accept or deny them. 

Here are some key points which will show you how to accept or deny a request on the approval app.

  1. Open the approval app.
  2. Click on the request tab at the top of the page.
  3. Select “Create a new request”.
  4. Enter the information for the request in the boxes provided.
  5. Click on the “Submit Request” button.

When creating a requirement, a dialogue opens that asks for all the necessary information. These are:

  • The title of the requirement,
  • The approving person(s),
  • Whether a response from all approvers is required,
  • Additional details and information in the form of a comment,
  • Attachments such as documents

In addition, you can define custom answer options, which can later be selected by the approver:

If you create an approval request directly in a channel, it will also be posted in the “Posts” tab and is therefore visible to the entire team. This is particularly useful when all team members are waiting for or need to be informed for approvals or denials from the manager. In addition, your request also appears in the “Approvals” app, so that you always have an overview of your approval requirements.

Practical note: Unfortunately, it is not yet possible to send an approval request to an entire team with the mention function (@exampleTeam) via the input field “approving persons”. To do this, you currently have to specify each recipient individually in the field. Once you have sent the request, it will appear in the “Sent” approvals with the status “Requested”.

You will be notified once the approver has processed your request.

Approve or Deny an Approval Request

If you receive an approval request yourself, you’ll get a new notification in your Teams activity feed. Clicking on the notification takes you directly to the dialogue with the required details.

The user-defined answer options that you specified when you created them are displayed here as buttons. By default, the approver can choose between the options “Accept” or “Reject”. It is also possible to write a comment on the approval request. If an attachment has been added, it can also be opened and edited here.

After the request is approved or denied, the creator gets a notification about the new status. The status is also automatically updated in the respective chat history or channel. You can click View Details directly from the chat history to see more information about the approval process.
